Job Summary

This Administrative Specialist Senior and Student Support Specialist provides advanced administrative support for the Computer Information Systems (CIS) departments Department Chair, Assistant Chair(s), Maricopa Information Technology Institute (MITI) director, students and helps lead our new Bachelors Program. This position is at the Downtown Center (DTC) and requires both on campus and remote hours as needed. The position requires student support specialist duties, multiple scheduling duties, budget, and purchasing, FMS requisitions, HCM Timekeeper, Student Information Management, third party quotes/invoices, webpage maintenance, and specialized student student services. This position must have a commitment to service excellence, innovation, student success, integrity, and diversity in the performance of job duties.

The Administrative Specialist Senior must be able to work as a team player, prioritize tasks, and work well with multiple interruptions. He/she/they should demonstrate a commitment to service excellence, innovation, student success, integrity, and diversity in the performance of job duties.

Essential Functions

35% Provides intermediate administrative support to the CIS Department Chair, Assistant Department Chair, Director of The Maricopa Information Technology Institute-MITI, faculty, and students; communicates with internal and external resources regarding policy/procedural, event, or program information; receives and responds to inquiries and information requests, resolving issues or referring requests to appropriate resources; includes admin support for CCLs, Associate’s, and Bachelor programs; schedules, prioritizes, coordinates, and performs administrative office support activities related to meetings, events, or office services; prepares and maintains schedules, coordinates calendars, researches and makes travel arrangements; provides training and orientation to other staff

20% Student Support Specialist for the Maricopa Information Technology Institute (MITI), attention to detail, a high degree of accuracy, and the ability to prioritize are essential; responsibilities involve case/cohort management, student retention, matriculation, event organization, operation of various academic and data visualization platforms, graphic design, and advanced secretarial support; commitment to student success and service excellence by adhering to the Maricopa Information Technology Institute and Mesa Community College vision, mission, and implementations.

20% Schedules, prioritizes, coordinates and performs advanced administrative office support activities related to our new Bachelor’s (BAS) in Data Analytics and Programming program; attends all meetings related to the BAS program, assists students & faculty with enrollment, student advisement, new course development, SSA’s, course substitutions and data entry; monitors and tracks BAS budgets, funding, and expenditures; assists with budget preparation; coordinates the inventory and replenishing of office supplies and office equipment maintenance services

15% Researches, gathers, compiles and reviews data and information in support of assigned function, program, project, or support area; assists with research, gathers information, and provides coordination of activities and administrative support of projects, programs, or services; adheres to applicable policies and procedures; performs other duties as assigned; assists with departmental dropout detective as it relates to the success and retention of students.

10% Designs and formats complex documents; composes original documents, correspondence, and presentations; creates documents, reports, correspondence, and/or other communication and promotional materials; oversees the maintenance of files, records, database information and documentation related to assigned area and according to established procedures, updates the CIS and MITI webpages.

Minimum Qualifications

Associate’s Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.


High School Diploma/GED and four years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

Desired Qualifications

A. Completed 60 credits towards Az General Education Curriculum (AGEC) or CIS degree and/or working towards a CIS degree and/or working towards a bachelor degree in the CIS field

B. Directly related work experience in CIS higher education administrative office support and documented work experience as a student support specialist

C. Experience using Microsoft Office, Adobe Acrobat, Google Workspace, graphic design software, and/or web-based software and applications such as Dynamic Forms, SIS, ERS, FMS, HCM, 25Live, Drupal, Tableau, DOD, Cranium Cafe, COM’s, & Canvas

D. Experience with budget, enrolling students, class schedule building as it relates to education

E. Effective written communication composing standard office communications such as email, letters and reports (cover letter and resume will be evaluated)

Special Working Conditions

This position will be located at the Downtown Center at 145 North Centennial Way, Mesa, AZ 85201

May be required to travel to Southern/Dobson campus if needed

May require prolonged periods of viewing a computer screen

May be required to work evening and weekend hours; summer work hours vary based on office and customer needs
