Job Summary
The Department of Parks, Recreation and Tourism is seeking
an Administrative Assistant to provide administrative support to the Department Chair, faculty, and students. The successful candidate will
be detail-oriented, well-organized, forward thinking, decisive, and be able to prioritize and solve problems. The ability to manage multiple
projects with different deadlines and strong verbal communication and customer service skills will be given priority.
The Department of
Parks, Recreation and Tourism is a growing and dynamic degree-granting unit within the College of Health. We offer courses and programs in
outdoor recreation, sport, tourism and event management, valuing the extraordinary impact these activities and services have in affecting
health and well being of people, communities, and the natural environment. The successful candidate for this position will work closely with
the Department Chair as well as stakeholders that value these services and experiences as being essential in making the University of Utah
and State of Utah unique.
Responsibilities
Responsibilities: Oversees day-to-day operations such as
responding to emails, managing calendars, and basic budget/accounting work.
Provides administrative support, including recording and
archiving meeting notes, receiving and farming out inquiries from people within and outside of the Department, coordinating meetings and
events for the Department.
Manage and oversee the maintenance and updating of program websites, social media, public relations
activities, and development of an “umbrella” database of students and alumni. Assists with the management of the student focused programs
such as outdoor recreation/UExplore programs (e.g., student and instructor recruitment, processing travel and expenses, and other duties as
assigned). Assists with the implementation of Department and University policies and procedures, including, but not limited to, working
directly with College and University offices on reappointment, promotion, and tenure (RPT) reviews of faculty. Assists department with
strategic planning and goal setting. Travel/accommodation arrangements and itinerary planning for faculty, faculty candidates, students,
prospective students, Department guests Point person for Department webpage and social media management. This role will require
collaboration with the College and Health Sciences marketing and communication team. Point of contact for current and prospective students,
alumni relations, and friends of the Department. May supervise subordinate staff, by hiring, training, establishing goals and evaluating
performance
Accounting/Finance: Works closely with our Administrative Manager with the coordination of events and
supporting faculty and other staff. Collects, organizes and analyzes data for specialized reports. Coordinates the collection and
preparation of operating reports. Department & research purchasing and participant incentives.
Faculty processes:
Processes PRT Faculty Travel Tenure-track RPT, post-tenure reviews, and CAV reports Assists with all faculty recruitment processes -
schedule Search Committee meetings, prepares hiring documents, etc.Incumbents use independent judgement in resolving various problems that
involve faculty, staff, students and the general public. Must use judgement and discretion when advising others of the executives view on
policies and other issues. This position initiates and has input in the hiring and employment decisions related to subordinate
staff.
Incumbents in this position may be required to represent the executive at meetings and interact with individuals at the
highest levels in public and private organizations on a local and national basis.

Minimum Qualifications
Associate degree in business or equivalency (one year of education can
be substituted for two years of related work experience) and three years full-time secretarial experience required.
Demonstrated
human relations and effective written and verbal communication skills required.
Knowledge of basic bookkeeping practices and direct
supervisory experience preferred.

Preferences
- Bachelors degree in Business, Finance, Health Care Administration or
a related field, or equivalency preferred. - Two years office management and supervisory experience, demonstrated knowledge of
finance and budgeting, and public relations skills preferred. - Demonstrated human relations and effective communication skills are
also preferred. - Prior experience working in an academic setting is preferred. Writing, Zoom/remote work experience, website
development and maintenance, and strong communication skills are preferred. - Candidate should be comfortable with professional
writing and speaking to a range of constituents, including academics, students, alumni, community partners, the public, and University
administrators.
